How to Automate Lead Follow-Up
Most leads are lost because nobody follows up. This tutorial builds an automatic follow-up sequence: the system sends a first reply, then follows up a few times until the lead responds, then stops. This is the automation that turns cold leads into conversations.
What you will learn
- How to build a multi-step follow-up sequence
- How to add wait steps between messages
- How to stop the sequence when a lead replies
- How to hand off to your team
Before you start
- Have a form or lead source set up
- Have WhatsApp or email connected
Step-by-step
- 1
Start with a lead trigger
Create a workflow that starts on Form Submitted or Contact Created. This is the moment a new lead enters your system.
- 2
Send the first reply
Add a Send WhatsApp or Send Email action with a short first message. This should go out instantly. Thank them for their enquiry and tell them what happens next.
- 3
Add wait steps and follow-ups
Add a Wait action, for example 1 day. Then add another message: a gentle nudge asking if they are still interested. Add another wait, for example 2 days, and a final message. Three to four touches over a week is usually enough.
Space your follow-ups out. Daily messages feel like spam. A day, then two days, then three days feels natural.
- 4
Stop when they reply
After each message, add a condition that checks if the lead has replied. If they have, stop the workflow. If they have not, continue to the next wait and message. This stops you from nagging someone who already responded.
- 5
Hand off to your team
When the lead replies, send an internal notification to the owner. Your team takes the real conversation from there. Automation did the repetitive part. People do the human part.
Result
You have a follow-up sequence that replies instantly, follows up a few times, stops when the lead responds, and alerts your team. Leads no longer go cold from lack of follow-up.
Troubleshooting
The sequence keeps going after a reply
Make sure the stop condition checks for any inbound message from the contact, not just a specific keyword.
Messages all arrive at once
Check that your Wait steps are between messages, not after the last one. Waits must come before the next action.
Best practices
- Three to four touches over a week is enough for most leads
- Always stop the sequence when a lead replies

Frequently asked questions
Is automated follow-up spammy?
Not if you do it right. Send a few spaced messages, stop when they reply, and only message people who asked to hear from you. Consent and good timing keep it respectful.
How many follow-up messages should I send?
Three to four over about a week works for most businesses. More than that rarely helps and can annoy people.
