How to Add Conditions

Conditions let a workflow make decisions. Instead of sending every lead the same path, you can branch based on their data, like industry, source or whether they replied. This tutorial shows you how to add conditions to make your automation smarter.

What you will learn

  • What a condition does
  • How to add an if-else branch
  • How to branch on contact fields
  • How to branch on behaviour

Before you start

  • Have a working workflow to add conditions to
  • Have custom fields set up if you want to branch on them

Step-by-step

  1. 1

    Understand conditions

A condition checks something about the contact or the event, then sends the workflow down different paths. It is the if-else of automation. Without conditions, every lead gets the exact same sequence.

  2. 2

    Add an if-else branch

In your workflow, click the plus and add an If-Else action. Define the condition, for example: if contact source equals Meta Ads. The workflow now splits into a Yes path and a No path.

  3. 3

    Branch on contact fields

You can branch on any contact field or custom field. For example, send different messages to leads in different industries, or route high-value leads to a senior sales person. Add different actions down each branch.

Use custom fields to capture the data you want to branch on, like industry or budget range.

  4. 4

    Branch on behaviour

You can also branch on what a lead did. For example, if they booked a call, skip the follow-up. If they opened an email but did not click, send a different nudge. Behaviour-based branches make automation feel personal.

Result

Your workflow now branches based on contact data and behaviour. Different leads get different, more relevant messages instead of one generic sequence.

Troubleshooting

Leads go down the wrong branch

Check the field values on the contact. Conditions match exactly, so a field with extra spaces or different capitalisation will not match.

Best practices

  • Keep branches to two or three paths to stay manageable
  • Always have a default path for leads that do not match any condition
  • Test each branch with a contact that fits it

Frequently asked questions

How many branches can I have?

You can have many, but more than three or four gets hard to manage. Use separate workflows for very different processes instead of one huge workflow.
