How to Add a Contact

Every lead in your business should live in your CRM, not in a notebook or a WhatsApp chat. This tutorial shows you how to add contacts one by one, import them in bulk, and make sure every contact has an owner so nothing gets forgotten.

What you will learn

  • How to add a single contact
  • How to import contacts from a spreadsheet
  • How to assign an owner to each contact
  • How to avoid duplicate contacts

Before you start

  • Have your contact list ready if you are importing
  • Make sure your team members are added first

Step-by-step

  1. 1

    Add a single contact

Open Contacts and click Add Contact. Enter the name, email and phone. Add any custom fields you need, like industry or source. Save the contact. It now appears in your CRM and can be used in workflows and pipelines.

  2. 2

    Import contacts in bulk

Open Contacts, click Import, and upload a CSV file. Map each column in your file to a field in the CRM. Review the preview, then confirm. This is the fastest way to bring in leads from a spreadsheet or another tool.

Clean your spreadsheet first. Remove empty rows and make sure phone numbers include the country code.

  3. 3

    Assign an owner

Every contact should have an owner, the person responsible for following up. When you add or import a contact, set the owner field. You can also bulk-assign owners after import. A contact with no owner is a contact that gets forgotten.

  4. 4

    Check for duplicates

The CRM warns you if a contact with the same email or phone already exists. When importing, choose to update existing contacts instead of creating duplicates. Duplicates are the fastest way to send someone two messages by mistake.

Result

Your contacts are in the CRM, every contact has an owner, and there are no duplicates. You are ready to organise them into a pipeline.

Troubleshooting

My import failed

Check that your file is a CSV with headers in the first row. Remove any special characters from column names and try again.

Phone numbers look wrong

Make sure every number includes the country code, for example +91 for India. The CRM stores numbers in international format.

Best practices

  • Always assign an owner, even if it is you
  • Add a source field so you know where each lead came from
  • Import in batches of a few hundred to catch errors early
