Advanced Workflow Automation
When the basics are not enough, you can build advanced automation with custom fields, nested conditions, API calls and multi-branch logic. This tutorial introduces the advanced building blocks for when your process needs more than a simple sequence.
What you will learn
- How to use custom fields in workflows
- How to nest conditions
- How to call an external API
- How to keep complex workflows manageable
Before you start
- Be comfortable with basic workflows and conditions
Step-by-step
- 1
Use custom fields
Custom fields let you store data unique to your business, like industry, budget or project type. Create them in Settings, then use them in conditions and messages. Custom fields are what let you personalise and branch on data that matters to you.
- 2
Nest conditions
You can put conditions inside conditions. For example, first branch on industry, then within each industry branch on budget. Nested conditions let you build very specific paths, but keep them shallow or they become hard to manage.
If your workflow has more than three levels of nesting, split it into separate workflows. Complexity hides bugs.
- 3
Call an external API
Add an API action to send data to another tool or fetch data back. For example, look up a lead's company details, or push a new customer to your accounting tool. Use webhooks for tools that support them. This is where the platform connects to the rest of your stack.
- 4
Keep complex workflows manageable
Name every step clearly. Group related steps. Add notes to explain why a branch exists. The future you maintaining this workflow will not remember what you meant. Clear names and notes are the difference between a workflow you can fix and one you have to rebuild.
Result
You can build advanced automation with custom fields, nested conditions and API calls, and keep it maintainable as it grows.
Troubleshooting
My API call fails
Check the endpoint URL, headers and auth. Test the call in a tool like a REST client first to confirm it works, then copy the working setup into the workflow.
Best practices
- Keep nesting shallow
- Name every step clearly
- Split huge workflows into smaller, focused ones
Next steps
- Read Adding Conditions to master branching
- Read Testing a Workflow to test complex logic
- Read Workflow Troubleshooting for when it breaks

Frequently asked questions
Do I need to know how to code for advanced automation?
No. The visual builder handles most advanced logic. API calls need the endpoint details, but you do not write code. For custom integrations, our team can help on a strategy call.
